EKI Environment & Water, Inc. (EKI) is an employee-owned, full-service, engineering and environmental sciences consulting firm, serving private- and public-sector clients throughout the United States. We are currently seeking an efficient Marketing and Document Coordinator to support our marketing team. This position requires elevated levels of collaboration, organization, attention to detail and excellent writing skills, as your primary responsibility is producing materials that assist EKI in winning new business and producing consistent quality reports and other documents. The position may be based in one of our offices with a hybrid work schedule or be permanently remote.

The Marketing and Document Coordinator will work on specific proposals under the direction of the Marketing Manager and/or the Proposal Technical Lead. Your responsibilities will include:

  • Developing and managing proposal schedule and compliance matrix
  • Developing proposal outline
  • Coordinating kickoff and other proposal meetings; taking and distributing meeting notes
  • Coordinating pre-proposal meeting attendance and tracking and distributing proposal addenda
  • Organizing and managing proposal directory and files
  • Participating in proposal strategy discussions and sharing information with proposal authors
  • Locating background materials, boilerplate, and previous proposal text and graphics
  • Coordinating with subconsultants, project team, and graphics support to obtain materials required for inclusion in technical proposals
  • Compiling proposal elements (e.g., project schedule, budget, covers, appendices, required forms)
  • Formatting, editing, and proofreading proposals, statements of qualifications presentations, and other documents
  • Ensuring documents meet brand standards (font, colors, text, margins, etc.), and
  • Coordinating production, delivery, and proposal tracking.

When not working on specific proposals, responsibilities may include, but are not limited to, the following:

  • Providing formatting and quality control for reports, memos, and other documents for company consistency
  • Developing templates for reports and documents
  • Responding to inquiries from staff working on technical proposals
  • Assisting in the development and implementation of proposal capture strategies
  • Supporting CRM database administration including data entry, reporting, and knowledge management
  • Developing and updating proposal resources, including project descriptions, resumes, and boilerplate
  • Supporting the marketing team with interview preparation
  • Assisting with strategic research and other projects
  • Assisting in the identification and creation of exceptional proposal text and graphics
  • Assisting in conducting proposal related trainings
  • Identifying improvements in the packaging and presentation of proposals, and
  • Contributing to special analyses on proposal activities.

The successful candidate must have:

  • Effective communication skills, both written and oral
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Basic knowledge of computers and printing equipment
  • Diligence and critical thinking skills
  • Ability to work independently while also functioning effectively as part of a team
  • Strong people skills to work with different personalities and professional styles
  • Ability to work under tight deadlines and manage multiple assignments concurrently, and
  • A strong grasp of punctuation, spelling, grammar, and style

The ideal candidate will have:

  • Bachelors and/or Associates degree in Liberal Arts, Business Administration, English, Journalism, or equivalent experience
  • A working knowledge of Adobe Creative Suite (InDesign, Photoshop), Deltek VantagePoint CRM, SharePoint, and/or WordPress
  • Background or interest in environmental or water issues, and
  • 0-5 years’ experience coordinating, writing and/or proofreading highly technical documents or grant proposals.
